Job Summary
Reporting to the Senior Manager, Business Infrastructure, the Client Service Coordinator is the front line of customer service, ensuring clients receive the correct medical supplies on time and that orders are processed accurately.
Duties and Responsibilities
- Triage client calls to appropriate sites, departments, and extensions
- Scan paperwork from depots
- Scan and process delivery returns from drivers
- Print, process, and highlight client medical supply orders for the Pick and Pack team
- Communicate regularly with HCCSS SW regarding clients, orders, and issues
- File shipping documents and depot sheets
- Use Interac/Visa machine for client orders
- Add notes into the MIS system
- Call clients and depots regarding deliveries and equipment
- Participate in quality improvement initiatives and complete assigned tasks
- Maintain a neat and clean work area
- Maintain confidentiality of all records as per Bayshore's operating policies and procedures
- Perform any other duties assigned by supervisors
- Follow established Health and Safety policies and procedures
- Process HPG confirmations and equipment calls
- Other duties as required
Qualifications
Qualifications
- High School Diploma
- Organized self-starter with strong communication skills
- Competent in the use of computers, specifically MS Office Suite (Outlook, Word, Excel, Access)
- Ability to multitask and maintain exceptional phone mannerisms
- Skilled in troubleshooting and remaining professional under pressure
- Ability and willingness to work flexible shifts, including days, evenings, weekends, and holidays
Physical Requirements
- Frequent interaction with team members, customers, and external companies by phone
- Periods of standing and walking for extended durations
- Regular lifting, pushing, pulling, carrying, or moving objects of varying weights
- Occasionally required to lift up to 50 lbs. unassisted
- Performs physical tasks such as bending, twisting, and reaching to move supplies or other items
Work Environment
- Primarily works in an office setting, seated at a desk using a computer and telephone
- Frequent communication with customers over the phone and via computer systems
- Occasional work in a warehouse setting
- Warehouse environment is climate-controlled and clean
