REGULAR PART TIME HEALTH INFORMATION MANAGEMENT PROFESSIONAL – RELEASE OF INFORMATION SPECIALIST
Health Records Department

Position Objective:
Responsible for managing and processing all requests for access to personal health information, while ensuring compliance with provincial privacy legislation and hospital policies. This position will report to the Manager of Health Information Management.

Responsibilities:
  • Process all releases of information including but not limited to Health Information custodians, insurance companies, lawyers, WSIB, professional colleges, Children’s Aid Society and Coroner’s office in accordance with provincial legislation and MHA policy and procedures with respect to privacy and confidentiality, access and disclosure and transmittal of patient information.
  • Responsible for the monitoring of documentation to ensure compliance with established standards and legislation.
  • Responds directly to inquiries from patients wanting access to their own health record, processes the request in accordance with provincial legislation and if the request is approved, schedules the patient’s appointment for pickup of health records or viewing purposes.
  • Prepares and sends invoices according to the fee schedule, with appropriate follow up concerning invoices. Coordinates the chart retrieval and logs all requests using Access HIM.
  • Works collaboratively with all internal stakeholders including hospital staff, physicians, allied health care team, and laboratory and radiology department for collection of information pertaining to release of records.
  • Other duties as required.

Job Qualifications:
  • Must provide vaccination records or proof of immunity against measles, mumps rubella and varicella (chicken pox) and proof of 2 COVID-19 Vaccinations
  • Must provide documentation of the Tuberculosis skin testing within the previous 12 months.
  • Must be a graduate of a recognized Health Information Management (HIM) program.
  • Must be certified and in good standing with the Canadian College of Health Information Management (CHIMA)
  • Active CHIMA member
  • 1-2 years’ experience in a release of information role
  • In-depth knowledge and understanding of PHIPA, FIPPA and Public Hospitals Act regarding releasing personal health information.
  • Advanced knowledge of Privacy and related legislation as it applies to Access and Disclosure of Personal Health Information
  • Must have good organizational, analytical, and technical skills.
  • Knowledge of Cerner, Powerchart, Access HIM and Report Request
  • Must be well organized, able to prioritize workflow, work independently with attention to detail, work effectively in a team environment, and have strong communication skills.
  • Advanced Computer knowledge skills essential in Microsoft Office programs
  • Demonstrated Excellence in Attendance
  • Valid driver’s license required as travel to FCHS is required.
